Jury Summons (Public Sector)

Definition:
Increased document value through personalization and customization
The VIPP application was developed in the PC-based Lytrod Designer, the leading GUI in Xerox’s VIPP Made Easy workflow. The Lytrod DeskTop Designer was used to easily and rapidly add highlight color, data-driven graphics and barcodes to improve juror selection processes. Result is better service to voters and lower costs to taxpayers.

Business Problem:
Counties want to improve their prospective juror selection and communication process. The objective is to reduce the cost of the summons process, to reduce the resulting inquiries, and to improve constituents’ understanding of the selection process. It was felt that more effective documents would elicit a higher response rate (thus fewer summons were required); reduce the number of questions and resultant calls regarding the process; and make the process more efficient (maps, key information highlights, juror specific data) for the prospective juror. Postal “cleansing” and preparation was expected to reduce mailing costs and ensure a more accurate and timely delivery of the document.

Business Process:
The PrintPro Mailing System combines a Lytrod Designer with FirstLogic’s address cleansing and sorting engine to provide a high level of printing and mailing automation. Desktop Designer was used to create a summons format and integrate it with “cleansed” postal data from FirstLogic’s address engine. . The new jury summons document reduced production costs and the amount of time spent by court personnel assisting prospective jurors. Mileage from the constituent’s home to the courthouse is calculated and placed within a dynamic map on the summons form. The juror’s badge is also printed on the form, eliminating the need for a separate badge and the need for a court clerk to create badges on the day of jury selection.

Dynamic document construction (DDC), Xerox’s unique “just send the data” workflow, has been made far easier to implement with a range of VIPP Made Easy tools¾in this case Lytrod’s DeskTop Designer. VIPP offers unsurpassed production flexibility and control. By keeping data and format separate until the moment of production, documents are run at the printer’s rated speed, then sent to off-line finishing equipment. The pressure-seal mailer combines with cleansed and carrier-route-sorted address data to save on postage and envelope costs.
